What a proforma invoice does
A proforma communicates expected charges before the final commercial invoice. It can support customer approval, budgeting, purchase-order processing or advance-payment discussions.

Prepare a clear proforma invoice
Present an advance estimate of products or services before issuing the final invoice, using clear validity, pricing and payment terms.
Label it clearly
Use the words Proforma Invoice prominently and state that it is not a tax invoice or final demand for payment. Include a unique reference and validity date.
Show the proposed transaction
Identify the parties, describe each product or service, show quantities and prices, and state the proposed tax treatment, delivery expectations and payment conditions.
Convert only after confirmation
When the transaction becomes final, create the correct invoice using confirmed quantities, dates and tax treatment. Quote Desk does not currently transmit documents to KRA eTIMS.
