PAYMENT RECORDS GUIDE
How to Record Partial Payments on an Invoice
When a customer pays a deposit or instalment, keep the original invoice total intact and record the amount received as a payment credit. The invoice should then show both the payment history and the remaining balance.
What is a partial payment?
A partial payment is any amount received that is less than the invoice’s outstanding balance. It may be a deposit, scheduled instalment, progress payment or simply part of an overdue amount.
Partial payment does not reduce the original value of the goods or services. It reduces only the amount still owed.
Invoice total KES 100,000
First payment − KES 40,000
Balance due KES 60,000
1. Confirm the payment
Check that the funds were actually received before recording them. Match the transaction to the correct customer and invoice using the M-Pesa code, bank reference, receipt number or another reliable identifier.
2. Open the original invoice
Record the payment against the invoice that requested it. Do not create a second invoice for the same sale simply because the customer paid in instalments.
3. Enter the payment details
Record the amount, payment date, method and reference. Add a short note when useful—for example, “50% project deposit” or “Second instalment.” The reference helps resolve questions later.
4. Recalculate the balance due
Subtract all valid, non-reversed payments from the invoice total. Never subtract a payment twice, and do not change the line-item prices to imitate a payment.
Invoice total KES 116,000
Deposit received − KES 50,000
Second payment − KES 30,000
Current balance KES 36,000
5. Update the invoice status
Use a status such as Partially paid while money remains outstanding. Mark the invoice Paid only when valid payments equal the total. If the due date passes with a balance remaining, it may also need overdue follow-up.
6. Issue a payment receipt
Give the customer a receipt for each confirmed payment. The receipt should identify the customer, invoice number, amount received, date, method, transaction reference and remaining balance.
7. Keep the payment history visible
A clear invoice or statement should show each credit separately. This gives both parties a simple trail from the original amount to the present balance.

What if a payment was entered incorrectly?
Preserve the audit trail. Reverse the incorrect credit and record the corrected payment rather than silently changing history. Add a reason such as “wrong invoice,” “duplicate entry” or “incorrect amount.” If money was actually refunded, record the refund through the appropriate accounting and payment process as well.
What if the customer overpays?
Do not show a negative balance without explaining it. Confirm whether the extra amount should be refunded or held as customer credit for a future transaction, and document the decision clearly.
